This policy explains which personal information we collect through this website and through our software, why, how long we keep it and what you can do about it. It covers the website pdfcreator.fabreasy.com, Fabreasy PDF Creator and Fabreasy SendReady for Windows, and Fabreasy Drag & Drop for Mac.

Who we are

Fabreasy (Yellow Smile), Henry Dunantlaan 16, Delft, the Netherlands. Questions about privacy: info@fabreasy.com. We are the controller for the data described here, under the EU General Data Protection Regulation (GDPR).

In short

  • Your documents stay on your own computer. Our software does not send their contents to us.
  • We do not sell personal information and do not use it to track you across other apps.
  • Our software sends only what is needed for your license, plus anonymous usage figures that you can switch off.
  • The website uses cookies for statistics and to measure our advertising; see "Cookies".

What we collect on the website, and when

When you order a license, we ask for your name, email address, company, address, country and, for businesses, your VAT number. We use these to deliver the license, send the invoice and give support. When you ask for a guide or a reminder by entering your email address, we use that address only for that. When you email us, we use your message and address to answer you.

Payments are processed by Mollie and by Dodo Payments. We do not receive your card or bank details; their privacy statements apply to the payment.

What our software sends

Fabreasy PDF Creator and SendReady (Windows)

Creating PDFs, placing letterhead and signatures, encrypting with a password and sending through your own mail program all happen on your computer. Settings, letterhead sets and signatures are kept in the Windows registry and in your user folder.

License check. To verify that a license is valid and used by the agreed number of users, the program sends to our license server: the license key, your Windows user name and display name, the computer or domain name, the program version, the screen language and a random installation number. The license holder can see and remove the registered users in the customer portal. If you had a license for the previous version, the program asks once whether it may check for a new key; after you agree it sends the number of that old license, a checksum of the license code and the email address contained in that license.

Trial. The PDF Creator trial works without our server. If you start the trial of the password portal and Confirm, you give an email address, which we use to tie the trial to one person, to send one reminder before it ends, and to keep your trial data if you buy. If you do not buy, we delete what you recorded during the trial 14 days after it ends.

Usage figures and error reports. The program reports how often each component was started and how many PDFs and pages were made, with the license number and the installation number; no name, email address, file names or content. You can switch this off in Setup on the License tab. If a program file is missing or damaged, the program sends a short error report with the license number.

Offers in the program. The Dashboard asks our server whether there is an offer for this installation (for example at the end of a trial), sending the installation number, the kind of license and the days left. Clicks on an offer are counted.

SendReady password portal and Confirm. If you use the password portal, we store data about your recipients on your behalf, as your processor: the email address (encrypted), the password chosen by the recipient (encrypted with your organization's key, which we do not know) and the status of the invitation. With Confirm we store per document the file name (encrypted), a fingerprint of the file and the recipient's response. The terms are in the data processing agreement you accept in SendReady. After your license ends we keep this data for 90 days and then delete it.

Updates and support. The program asks our website daily for the newest version, without sending information about you. A support file made in Setup stays on your computer unless you email it to us yourself; it contains your settings (without passwords or license key), log files and your letterhead files.

Fabreasy Drag & Drop (Mac)

Documents, letterhead and signatures are processed on your Mac and are not sent to us. The Mac app has its own, more detailed privacy policy: pdfcreator.fabreasy.com/mac-privacy. What it sends:

License check. When you enter a Fabreasy license key, and afterwards from time to time, the app sends to our license server: the license key, the user name of your Mac account, the name of your Mac (for example "iMac-of-John") and the app version. We use this only to check that the license is valid and used by no more than the agreed number of users; the license holder can see and remove these users in the customer portal, and you can free your seat with Manage › License… › Release This Computer. We keep this data as long as the license runs and anonymize it 24 months after the license has ended. Invoices are kept for seven years, as Dutch law requires. The Mac App Store version works without a license key; there the app only sends this if you choose to enter one.

Version check (download version only). Once a day the download version asks our server which version is the newest, so it can tell you when there is an update. It sends the app version and nothing about you. The App Store version does not do this; its updates come through the App Store.

Trial (download version only). During the 14-day trial the download version checks once a day whether the trial is still valid. It sends the trial code, the number of days left and a code derived one-way from your Mac's hardware identifier, so that reinstalling the app does not restart the trial. We keep this for at most 24 months. The App Store version does not do this.

Anonymous usage figures (optional). At the first start the app asks whether you want to share anonymous usage statistics (in the Mac App Store version the box is not ticked: nothing is sent unless you tick it). If you share them, the app sends once a day: a random installation number (made on your Mac, not derived from your Mac or from you), how often the app was started, how many documents and pages were processed and whether they were saved, emailed or printed, which features were used (such as signatures and tags), whether you use the free version, a trial, a subscription or a license, the app version, the language of the app, the macOS version and whether the app came from the App Store or from our site. It never sends your name, email address, license key, file names or the contents of your documents, and the IP address is not stored with these figures. We use them only to see how the app is used and to improve it. You can switch this off at any time in Settings › License; the button What exactly is sent? there shows exactly what is ready to be sent. We keep usage figures for at most 24 months.

Support (only when you choose to). With Manage › Report a Problem… the app makes a support package with your settings and the log, and puts it in an email to info@fabreasy.com in your own mail app. You see what is included and you send it yourself. It never contains your license key, passwords or signatures (these are replaced by gray areas of the same size); your letterhead and the document itself only if you tick them. We use the package only to solve your problem and delete it when that is done. Crash reports stay on your Mac unless you send them to us yourself.

Purchases in the Mac App Store. Subscriptions are sold and processed by Apple. We do not receive your payment details or your Apple Account; the app checks with the App Store on your Mac whether a subscription is active. Apple's privacy policy applies to the purchase.

How long we keep it

  • License data: as long as the license runs; anonymized 24 months after it ends.
  • Invoices and order data: seven years, as Dutch tax law requires.
  • Usage figures and error reports: at most 24 months.
  • Trial checks of the Mac download version: at most 24 months.
  • SendReady portal and Confirm data: until 90 days after the license ends.
  • Email addresses for a guide or reminder: until you unsubscribe, or at most 24 months.
  • Server backups are overwritten after seven days; technical logs after five weeks at most.

Where the data is and who can access it

Our website, license server and database run at Hetzner Online GmbH in Germany (EU), which processes the data on our behalf under a data processing agreement. Payment providers receive what they need for the payment. We do not sell, trade or otherwise transfer your personal information to other parties, except when the law requires it.

How we protect it

The website and all connections from our software use encrypted HTTPS. Passwords of the SendReady portal are stored encrypted with a key we do not have. Our Windows installers are digitally signed and scanned with VirusTotal before release; the Mac app is signed and checked by Apple (notarized).

Should a data breach occur that affects your data, we report it to the Dutch Data Protection Authority within 72 hours and inform you by email without undue delay.

Cookies

Our website uses cookies and similar techniques for these purposes:

  • Necessary: to run the website and the order process.
  • Resellers: if you arrive through a link from one of our resellers, the cookie fcl_aff remembers that reseller for 30 days, so a purchase is credited to them.
  • Statistics: Google Analytics, to see how the website is used.
  • Advertising: the Meta (Facebook) pixel, to measure the effect of our advertising.

You can block or delete cookies in your browser settings; the website and ordering still work without statistics and advertising cookies. You can also use the Google Analytics opt-out add-on and set your preferences for ads in your Google and Meta account settings.

Do Not Track: our website does not change its behavior for Do Not Track signals; use the options above instead. We do not allow other parties to track you on our website, apart from Google and Meta as described here.

Email

We email you about your license, invoices, a trial you started, and a guide or reminder you asked for. We do not send newsletters you did not ask for. To stop receiving email from us, email info@fabreasy.com; we then remove you from all such correspondence (invoices for a running license excepted).

Your rights

You can ask us which personal information we have about you, and have it corrected, deleted or sent to you. You can object to its use for usage figures or marketing, and withdraw any consent you gave. License holders can remove users themselves in the customer portal. Send your request to info@fabreasy.com; we answer within 30 days. You can also file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Legal bases: performing our agreement with you (license, order, support), our legal obligations (invoices), our legitimate interest in improving our software (usage figures, which you can switch off), and your consent (statistics and advertising cookies, guides and reminders).

Children

Our website and software are made for businesses and are not directed at children. We do not knowingly collect personal information from children under 16 (under 13 in the United States).

California and other US states

You can visit our website anonymously. We do not sell or share personal information for cross-context behavioral advertising as defined by California law, other than the Meta pixel described under "Cookies", which you can block. This policy is linked from our home page with the word "Privacy".

Changes

When we change this policy, we update this page and the date at the top. If a change to our software affects what it sends, we update this page before that version is released.
